New referral lead

STEP 1 - Reply to group introduction: 

Best practice:

  • Reply to the group text or email within 30 minutes.
  • Thank the person who made the introduction, and reinforce that you’ll take care of their referral.
  • Greet the referral, then move the conversation to a 1:1 message so you don’t disturb the referrer with back-and-forth messages.
Thanks, [Referrer name]. Appreciate you connecting us. I’ll take great care of [Referral name].

Hi [Referral name],

Great to meet you. I’m going to message you directly, so we don’t blow up [Referrer name]’s [phone/inbox].

 

STEP 2 - Contact the referral directly:

Best practice

  • Send your 1:1 message immediately after replying in the group thread (ideally within 5 minutes).
  • Since the referral doesn’t have your contact saved yet, start by saying who you are and who introduced you.
  • Use a warm, confident tone and keep the message short and easy to read (2–4 short sections).
  • Reinforce that they now have a person in the car business they can reach out to anytime, and encourage them to save your contact info for later.
  • Ask a simple question that makes it easy to respond (for example: “Do you need anything right now?”).
    Avoid sounding salesy. The goal is to come across as helpful and trustworthy, so the referral feels like they have a go-to person, not a salesperson.

Appreciate [Referrer name]’s kind words.
